GTM Works - an Apollo.io Certified Agency Partner

Find every duplicate account in your Apollo.io. Merge them in one pass.

Apollo.io account dedupe for the whole workspace, not one record at a time. We scan every saved account, match duplicates by domain, and name the CSV upload or workflow that saved each extra account. Fix them yourself from the free scan, or we merge them for you in bulk.

The real review screen, shown with made-up companies. Green rows are the accounts you keep. Pink rows merge into them. Saved by shows the CSV upload, workflow or search that saved each account. Swipe sideways to see every column, or tap to open it full size.
The gap

Why Apollo.io duplicate accounts pile up

Apollo.io has no bulk duplicate manager for accounts. It shows a banner on an account page when it spots a possible duplicate, and you merge that one company. Then you go looking for the next one.

Meanwhile new duplicates keep arriving. Every source that saves companies into Apollo.io can save a second copy of one you already have.

Duplicates split your contacts and list memberships across records. Merging fixes the symptom. Knowing which source saved them lets you fix the leak.

Where duplicate accounts come from:

  • CSV uploads
  • Event and webinar lists
  • Workflows that save companies
  • The Apollo.io Chrome extension
  • API integrations
  • CRM syncs
How it works

How Apollo.io account dedupe works

1

A read-only scan of every saved account

We scan every saved account in your workspace with your Apollo.io API key and match them by domain. The domain is the unique key for a company, so two accounts on one domain are one company. The scan changes nothing.

2

Clear duplicates, and duplicates that need a look

Clear duplicates are accounts on the same domain where nothing disagrees. Need a look is accounts on one domain where something differs: names, websites, LinkedIn pages, stages, CRM links or hierarchy. Those sit on a separate tab, sorted by a confidence score.

3

The cause of every duplicate, named

Every duplicate shows what saved it: the CSV upload by file name and date, the workflow, or the other source. So you can fix the leak, not just the symptom.

4

Review, then merge in bulk

Tick the duplicates, pick the account to keep, and merge them in bulk or one company at a time. Skip a company and it stays off the list. Nothing merges until you type the record count to confirm.

Two kinds of duplicates

Clear duplicates vs. duplicates that need a look

Same domain doesn't always mean merge. Some companies keep several accounts on purpose.

Need a look

Accounts on one domain where something differs

The names, websites, LinkedIn pages, stages, CRM links or hierarchy don't match. Think hotel properties, campuses, franchise offices, or big companies that keep several accounts on purpose. A confidence score sorts these so the likely duplicates sit at the top. It never ticks anything on its own.

What a merge does

What happens when you merge duplicate accounts in Apollo.io

Verified on a real merge in Apollo.io:

  • Contacts move to the record you keep.
  • List memberships are combined.
  • Empty fields on the kept record are filled from the merged one. Where both have a value, the kept record wins.
  • The merged-away record is deleted in Apollo.io.
  • Apollo.io merges cannot be undone, so we save a full copy of every record before each merge.

Your CRM is not touched

Nothing is merged or touched in your CRM. Your CRM sync is set in Apollo.io under Settings > Integrations > Sync and Push settings. If HubSpot, Salesforce, Pipedrive or another CRM pulls accounts into Apollo.io, its duplicates come straight back after a cleanup, so dedupe the CRM first or turn off pulling accounts.

No website

What happens to Apollo.io accounts with no website

An account with no website can't be matched by domain. The review screen puts these accounts on their own tab, No website. Each one gets one of three outcomes.

Same name: merge

An account with the same name as one that has a website merges into the account with the website.

Empty: delete

An account with no contacts and no protected stage can be deleted. You choose which ones, a full copy of each is saved first, and Apollo.io can't undo a delete.

Contacts or a protected stage: leave as is

Accounts with contacts, or in a Do Not Prospect, Current Client or opportunity stage, are left as is. We find their websites so Apollo.io can match them by domain.

We find those websites with the same engine as our Domain Finder. The one-time cleanup includes website lookups for up to 500 accounts with no website. Above 500, it's $25 per 1,000 accounts, rounded up to the next 1,000.

Apollo.io Account Dedupe: Frequently Asked Questions

Can you merge duplicate accounts in bulk in Apollo.io?

Not with Apollo.io's own tools. Apollo.io flags a possible duplicate with a banner on one account page at a time, and Merge duplicates handles one company at a time. Our free scan finds every duplicate account in the workspace, and the one-time cleanup merges the ones you tick in bulk.

How does Apollo.io deduplication work for accounts?

We scan every saved account with your Apollo.io API key and match them by domain, because the domain is the unique key for a company. Clear duplicates are accounts on the same domain where nothing disagrees. Accounts on one domain where names, websites, LinkedIn pages, stages, CRM links or hierarchy differ wait for a look, sorted by a confidence score.

What causes duplicate accounts in Apollo.io?

Anything that saves companies: CSV uploads, event and webinar lists, workflows, the Chrome extension, API integrations and CRM syncs. The scan names the source behind each duplicate account, down to the CSV file name and upload date, so you can fix the leak.

What happens to contacts and lists when I merge accounts in Apollo.io?

Contacts move to the record you keep and list memberships are combined. Empty fields on the kept record are filled from the merged one. Where both have a value, the kept record wins. The merged-away record is deleted in Apollo.io.

Can I undo a merge in Apollo.io?

No. Apollo.io merges cannot be undone. That is why we save a full copy of every record before each merge, and why nothing merges until you type the record count to confirm.

Will merging delete records in Salesforce or HubSpot?

No. Nothing is merged or touched in your CRM. Your CRM sync is set in Apollo.io under Settings > Integrations > Sync and Push settings.

I sync Apollo.io with a CRM. Will the duplicates come back?

They can. If HubSpot, Salesforce, Pipedrive or another CRM pulls accounts into Apollo.io, duplicates in the CRM come straight back after a cleanup. Dedupe the CRM first, or turn off pulling accounts from the CRM in Apollo.io under Settings > Integrations > Sync and Push settings. The free scan shows which accounts came from your CRM.

Which accounts are never merged away?

Accounts in a Do Not Prospect, Current Client or opportunity stage are never merged away. If a stage can't be read, the account is protected too.

What happens to accounts with no website?

An account with no website can't be matched by domain, so the review screen puts it on a No website tab. An account with the same name as one that has a website merges into the account with the website. Empty accounts, with no contacts and no protected stage, can be deleted. Accounts with contacts or a protected stage (Do Not Prospect, Current Client or opportunity) are left as is, and we find their websites with the same engine as our Domain Finder, so Apollo.io can match them by domain. The one-time cleanup includes website lookups for up to 500 accounts with no website. Above 500, it's $25 per 1,000 accounts, rounded up to the next 1,000.

Does the scan use Apollo.io credits?

No. The scan uses no Apollo.io credits. It is paced to Apollo.io's API limit per team, about 600 calls an hour on Organization plans and 400 on Basic and Professional. That works out to about 2 hours for 70,000 accounts and about 6 hours for 200,000. You get the account count and a time estimate before it starts.

How much does Apollo.io dedupe cost?

The scan is free. We show you every duplicate account and what caused it, and you can download the full list as a CSV and fix it yourself. If you'd rather we do it, the one-time cleanup is priced on what the scan finds: $299 for up to 1,000 accounts merged or deleted, and $499 for 1,001 to 5,000. Over 5,000, we quote. Both include website lookups for up to 500 accounts with no website. Above 500, it's $25 per 1,000, rounded up to the next 1,000. The free scan shows the exact count, so you know the price before you pay. No monthly fee. Free for GTM Works platform customers.

How long do I have to finish the cleanup?

30 days from payment. Every merge, skip, delete and website you add is saved as you go, so you can work through it over several sittings. One re-scan in those 30 days is included to confirm the cleanup held and catch anything new. After that, the free scan is always open, and a new cleanup is priced on what it finds.
