Signal-Based Outbound, Run on Apollo.io and LinkedIn
Signal-based outbound means you reach out because something changed: a champion moved, a company started hiring, an account began researching your category. We run it on the Apollo.io and LinkedIn stack you already pay for, with a set next step for every signal.

Why Signal-Based Selling Is Replacing the Cold List
Cold outreach still books meetings, but buyers get more of it than ever. The 2026 State of B2B GTM Report by Kyle Poyar (Growth Unhinged) and Maja Voje (GTM Strategist), a survey of 300 B2B software and AI companies, calls cold outreach over-saturated and names pipeline the number one GTM challenge.

Buying Signals We Act On
Every row has a source, an Apollo.io action and a LinkedIn follow-up. Live means it runs for clients today. On request means we build the connection when you need it. Beta means we are testing it on our own accounts first.
| Signal | Source | What happens in Apollo.io | LinkedIn follow-up | Status |
|---|---|---|---|---|
| Job changes | | A "Contact changed jobs" workflow watches your saved customers and champions, finds them at the new company, and adds them to a list and a sequence. | A connection request at the new company. Every LinkedIn refill is also checked against LinkedIn and Apollo.io's latest work history, so people who left are held back. | Live |
| Hiring | | The Job postings filter finds companies hiring for the roles you support. New matches go into a weekly queue list. | A connection request to the leader the new hire reports to, from the same queue. | Live |
| Funding and company news | | Funding, Headcount growth and News filters find companies that just raised, grew or expanded. New matches go into a queue list. | A connection request that names the news and what usually comes next for a team in that spot. | Live |
| Technographic changes | | The Technologies filter finds companies running a tool you replace or plug into. Each tool gets its own queue list. | A connection request and follow-ups written for people who use that tool every day. | Live |
| Buying intent | | Buying intent topics, powered by Bombora and refreshed weekly. A weekly workflow moves High and Medium intent accounts into a queue list. | One LinkedIn campaign per intent stage, so a company researching hears something different from one that just bought. | Live |
| Website visitors | | Apollo.io's website tracker names visiting companies, and US visitors with the Inbound add-on. A "Website visited" workflow routes high-intent page visits to a sequence. | A connection request to the right persona at the visiting company, written around the topic they read, never the visit itself. | Live |
| Email and LinkedIn engagement | | "Email clicked" is an Apollo.io workflow trigger. A click with no reply moves the contact into a LinkedIn queue list. | Clicked but no reply gets a LinkedIn touch. Accepted on LinkedIn but no reply gets one Apollo.io email. | On request |
| LinkedIn profile viewers | | Viewers matched to saved Apollo.io contacts and added to a list for review. | A connection request only when it ties to outreach the viewer already received. Otherwise, no message. | Beta |
| Product usage | | Usage events such as trial limits, team invites and pricing page visits, scored and pushed into Apollo.io lists by API. | A connection request from the account owner, timed to the usage event. | On request |
| Event attendees and no-shows | | Registrant lists loaded into Apollo.io after each event, with attendees and no-shows split into separate sequences. | A connection request that mentions the event. No-shows get the recording. | On request |
How We Run Signal-Based Outbound
Caught in Apollo.io, synced to your CRM
Every signal lands in your Apollo.io as a list, a field or a workflow trigger, next to the contacts and sequences that act on it. From there it syncs to HubSpot, Salesforce or Pipedrive. See Apollo.io CRM integration.
Signals fill queue lists
Each signal feeds its own queue list in Apollo.io. Email sequences pull from it, and our weekly refill moves the same people into a LinkedIn campaign on your managed workspace, powered by HeyReach.
LinkedIn and email stay in sync
Connection accepts and LinkedIn replies write back to Apollo.io stages and lists, and a reply ends the email sequence. That is the Apollo.io HeyReach integration, run for you.
Triggered touches: automated or reviewed
Each client chooses, signal by signal. High-volume signals usually run on their own. Small, personal ones, like a champion's job change, often go to a review task first.
Signal Scoring: Weight × Recency × Fit
Not every signal deserves a message. We score each one, so the strongest reach a person first and weak ones wait for a second signal.
Weight is how strongly the signal has predicted deals for you. A past champion at a new company outranks a single page view. Recency lowers the score as the signal ages, because last week's funding round matters more than last quarter's. Fit is how closely the company and the person match your ICP. Multiply the three and you get one number your team can read and argue with.
Apollo.io has scoring built in, and its custom scores can use your signals directly. We build the score with you and show the signals behind every number. Our tutorial on custom account scores in Apollo.io shows the setup.
Suppressed before anything sends
- Current customers. They get an expansion play, not a cold one.
- Accounts with an open deal
- Anyone already active in an Apollo.io sequence
- Anyone contacted recently, inside a window you set
- Do Not Contact and unsubscribed records
The Signals Already in Your Apollo.io
Most Apollo.io customers pay for job change alerts, buying intent, website visitor tracking, job posting filters and workflows, then never set them up. We set them up with you on a recorded working session, then run the outreach on top.
This makes the Apollo.io you already pay for work harder. It never competes with it. Intent is a good example: our Intent Ladder splits Apollo.io intent signals into separate tracks, so a company researching a tool and a company that just bought one never get the same message.

Signal-Based Outbound FAQ
Signal-based outbound is prospecting that starts from a change: a champion moves jobs, a company starts hiring, an account researches your category, a visitor reads your pricing page. The signal decides who you contact, when, and what you say. On Apollo.io, most of those signals are already in the account.
Signal based selling is the wider practice of letting signals decide who sales talks to and when, from the first touch through expansion and renewal. Signal-based outbound is the prospecting part of it, where a signal starts the first conversation.
A past champion joining a new company. A job posting for a role your product supports. A funding round or a new office. A company adopting a tool you plug into. Rising research on your category in Apollo.io buying intent. A visit to your pricing page. A product trial hitting its limit. An email click with no reply.
No. Intent data is one signal: a company researching a topic across the web. Signal based prospecting uses many, including job changes, hiring, funding, technology changes, website visits and product usage. Intent works best combined with fit and a second signal.
Usually not. Most paid Apollo.io plans include job change alerts, buying intent, website visitor tracking, job posting filters and workflows. We add the LinkedIn side through our managed workspace, powered by HeyReach, and connect other sources such as product analytics only when you need them.
No. Most paid Apollo.io plans already include job changes, intent, website visitors and hiring filters, next to the contacts and sequences that act on them, and Claude does the account research. In Clay, web intent signals start on the Growth plan (October 2026), and every signal run spends Actions, which cannot be topped up.
Yes. Apollo.io is where signals are caught and acted on, through lists, fields, Workflows and sequences. Apollo.io's CRM sync carries those records, mapped fields and activity to HubSpot, Salesforce or Pipedrive, so reps see the signal where they already work. If that sync is not set up yet, we set it up as part of our Apollo.io CRM integration work.
Both, chosen per client and per signal. High-volume signals usually run automatically from a queue list. Small, personal signals, like a champion changing jobs, often go to a review task first so a person checks the record and the message before anything sends.
Weight times recency times fit. Weight is how strongly the signal has predicted deals for you. Recency lowers the score as the signal ages. Fit measures how closely the company and person match your ICP. The strongest scores get a touch first, and we show the signals behind every score.
Signal based GTM uses the same signals across marketing, sales and customer success, not only outbound. A champion leaving a customer is a renewal risk for success and a new lead for sales. We catch every signal in Apollo.io, and Apollo.io's CRM sync carries it to your CRM, so each team works from the same record.
LinkedIn automation is against LinkedIn's terms, so it always carries some risk. We enforce safe daily limits on every sender account and keep each campaign to a short sequence that stops when someone replies.
