- The one change made without a click: when a reply from the prospect clearly shows buying interest and Claude is confident, the contact is marked Interested in Apollo.io as soon as the reply is sorted. The email tells you it happened.
- Out-of-office replies, referrals, brush-offs, skeptical questions, replies from someone other than the prospect, and unsure calls are never marked Interested automatically. A reply on its own doesn't make anyone Interested. What they wrote decides.
- Every other change waits for a click. Override any recommendation with a different action, or dismiss it.
- Accept all runs only the safe, high-confidence housekeeping: unsubscribes, plain no's, not-a-fit companies already saved as accounts in your Apollo.io, not-now tasks, bounces, left-the-company notices that name no replacement, and out-of-office dismissals.
- Accept all never touches interested replies, questions, referrals, low-confidence calls, no's and unsubscribes sent by someone other than the prospect, or anything that would add a new company. Those always wait for a person.
- Replies you already answered from Apollo.io, or whose contact you moved to a new stage after the reply came in, are left out automatically and listed so nothing disappears. Each action checks again right before it runs.
- Records stay in Apollo.io: stages, tasks, company flags and email updates. Warm conversations continue in your own inbox, and we don't log that back-and-forth. No new inbox, no new CRM, no new tool to log into. It never writes a reply for you, and nothing reaches a prospect unless you wrote it.

Yes. Replies worth answering are checked every 15 minutes and emailed one at a time to the inbox we set up with you. They typically arrive within about 15 to 20 minutes of the prospect replying. Apollo.io itself takes a few minutes to pull each reply in from your sending mailbox. Housekeeping replies wait for one digest each morning.
Does it reply to prospects for me?
No. It never writes a reply, and nothing reaches a prospect unless you wrote it. The Reply button opens a new draft in your own Gmail, Outlook or default mail app, addressed to the person who replied, with their subject line and message quoted. Nothing from the notification goes into the draft. You write it, CC anyone, and send it. The conversation continues in your normal inbox.
Will it change anything in Apollo.io without my approval?
One thing. When a reply from the prospect clearly shows buying interest (a yes, a request to talk, a question about cost or how it would work for them, a request for examples or next steps) and Claude is confident, the contact is marked Interested in Apollo.io. The email tells you it happened. A reply on its own doesn't make anyone Interested. What they wrote decides. Everything else waits for a click.
Do I need a new inbox or CRM?
No. Replies worth answering arrive in the inbox you already use, and every record change happens inside the Apollo.io account you already have. No new tool to log into, and no action spends Apollo.io credits.
Can I get my Apollo.io replies once a day instead?
Yes. We can switch your workspace to daily only, and every reply comes in the morning, listed in the digest. In the default setup, the digest also lists any reply already emailed to you that is still open, marked "Already in your inbox."
How do I remove someone from a sequence in Apollo.io when they reply "take me off your list"?
Open the review page from the morning digest and click Mark Do Not Contact. That sets the contact's stage to Do Not Contact and finishes any other active sequences they are in. You never have to find them in Apollo.io and do it by hand.
What is the difference between Not Interested and Do Not Contact in Apollo.io?
We use Not Interested for a plain no from someone who could be a fit later, and Do Not Contact for anyone who asked you to stop emailing. Reply Triage recommends the right one for each reply, and you can switch it before you click.
What if I already dealt with a reply in Apollo.io?
If you replied to it from Apollo.io, or moved the contact to a new stage after the reply came in, that reply is left out automatically and listed, so nothing disappears. Each action checks for this again right before it writes to Apollo.io.
How are Apollo.io email replies sorted?
With Claude, Anthropic's AI.
