Apollo.io Workflow to Nurture Unresponsive Contacts

Jeremy Hurley November 7, 2024

Not everyone responds on the first pass. This guide shows how to build an Apollo.io workflow that automatically re-engages contacts who completed a sequence without responding - giving you a second shot with fresh messaging.

How to Set It Up

Schedule the Workflow

Set the workflow to run once weekly, capped at 500 contacts per run. This keeps your volume manageable and avoids overwhelming your sending capacity.

Apply the Right Filters

The key is targeting the right people:

  • Stage: Unresponsive (they completed a sequence with no reply)
  • Email Status: “Likely to engage” or verified - no point emailing bad addresses
  • Activity: No emails or engagement for at least 90 days - give them time to cool off

Save Your Filters

Store these filter combinations for repeated use so you don’t rebuild them every time.

Critical Rule - Don’t Repeat Yourself

Never enroll contacts back into the same sequence they already completed. Sending the exact same emails again is a waste. Instead, develop fresh messaging with a different angle, offer, or value proposition.

Optimization Tips

  • Write new copy specifically for re-nurture campaigns - different pain points, different CTAs
  • Add account scoring filters to prioritize high-fit accounts first
  • Audit your re-nurture sequences periodically to keep messaging relevant
  • Track reply rates separately from your primary sequences to measure effectiveness
