How to Exclude Current Clients from Apollo.io Sequences - Accounts or Contacts

Why This Matters

Most organizations should never send cold outreach to existing customers. Nothing undermines a customer relationship faster than an impersonal prospecting email landing in their inbox. Apollo.io has built-in features to prevent this automatically - you just need to set them up.

Step 1: Understand Default Rule Sets in Apollo.io

Apollo.io includes protective mechanisms by default. When accounts are marked as “Current Client,” “Active Opportunity,” or “Do Not Prospect,” the platform automatically blocks sequence emails to those accounts.

This protection operates through sequence rule sets. You also have the option to create separate rules for expansion campaigns if you want to target new contacts at existing customer accounts.

Step 2: Update Account Stages

For the protection to work, you need to properly identify your customers by updating the Account Stage field. There are three ways to do this:

  • Manual updates - Open individual account records and set the stage
  • CRM integration - Sync account stages automatically from HubSpot, Salesforce, or similar platforms
  • Bulk CSV uploads - Upload a spreadsheet using the domain name as the unique identifier

Step 3: Bulk Import via CSV

The bulk import process is the fastest way to mark a large number of accounts:

  1. Prepare a CSV file with your customer domains
  2. Upload the file to Apollo.io
  3. Match the domain field to Apollo.io’s Account Website field
  4. Set the Account Stage to “Current Client”
  5. Optionally add records to a “Current Customers” list for easy reference

Step 4: Verify the Changes

After importing, spot-check several accounts to confirm:

  • The Account Stage displays “Current Client”
  • Accounts appear in your designated customer list
  • Sequence rule sets are blocking outreach to these accounts
