How to Add Contacts to Sequence Step in Apollo.io Workflows
Why Automate Sequence Enrollment?
Manually adding contacts to sequences is tedious and easy to forget. Apollo.io Plays let you automatically enroll contacts who match specific criteria into targeted outreach campaigns - so no qualified prospect slips through the cracks.
Step 1: Review Your Targeted Plays
Start with a Play that already targets the right audience. For example, a Play targeting:
- Events persona professionals
- Companies with 500+ employees
- High account scores
- Automatically adds matches to a contact list
This Play is already doing the work of finding the right people. Now you just need to add the sequence step.
Step 2: Add the “Add to Sequence” Step
- Open your existing Play and click Edit
- Select Action and choose Add Contacts to Sequence
- Choose the desired sequence from the dropdown
This tells Apollo.io to automatically enroll any contact that matches your Play criteria into the selected sequence.
Step 3: Choose the Right Sequence
You have two approaches:
- General Sequence: Broad outreach messaging that works for initial setup and wider targeting
- Persona-Specific Sequence: Customized messaging tailored to each persona type. For example, an events-focused sequence might open with something like “I saw you manage events at [company name]” to make the outreach feel personal and relevant
Persona-specific sequences perform better because the messaging speaks directly to what the recipient does.
Step 4: Assign Mailboxes (Round Robin)
You can distribute sends across your team using:
- Round robin rotation across all team members - spreads the load evenly
- Persona-based assignment to specific representatives - routes contacts to the rep who specializes in that audience
Step 5: Save and Run the Play
Once everything is configured, save and activate the Play. Here is what happens automatically:
- Apollo.io identifies new contacts matching your Play criteria
- Adds them to the appropriate contact lists
- Enrolls them in the selected sequence
- Schedules emails automatically based on the sequence cadence
